1. Why AflexArchive?

AflexArchive is a highly configurable document management system that can be customized in such a way that it works well with your existing systems or software without any changes to the current processes.

Almost nil. AflexArchive is a document management system that is built in such a way that it can be integrated into any existing system without much change to it.

5. How long will it take to digitize our existing paper documents?

It will be purely depending up on the current document volume of the organization

6. What types of documents are supported by AflexArchive?

Following are the document types supported in AflexArchive:
  • Paper documents
  • Images / reports
  • Other format documents as attachments
  • Large sized images (A0, A1, A2, or A3)
  • Text notes
7. How many documents can be handled by AflexArchive?

AflexArchive is capable of handling hundreds of millions of images.

8. How can I find some specific documents in our AflexArchive? What sorts of search options are available?

User can search images based on configurable business attributes and identifiers (like invoice ID, employee ID, Employee Name, supplier ID, Company Name, etc). This way you can search for documents based on document types, like Invoice, Purchase Order, Pay slips, Patient files, Doctor Notes, Prescriptions, etc (or whatever attribute you define for your documents). Or you can even do full-text search within images (using OCR). Also, you can utilize various file and other technical attributes for retrieving a document.

9. Other than office purpose, can I use AflexArchive for my personal document library?

AflexArchive can be used for personal purpose, but it is most suitable for organizations will larger number of images of different types.

10. Do you archive really old documents uploaded into the system? If yes, on what basis do you archive older documents?

There are options available in AflexArchive to archive real old documents that may not be used on a day-to-day basis. For instance, documents older than 5+ years may not be used on daily basis, so those can be archived in such a way that they can still be retrieved when there is a need. Organizations can decide on the rule to be applied for archival, and AflexArchive can be configured by us based on that.

11. What is the architecture and database used for AflexArchive?

AflexArchive is developed based on solid SOA principles with multi layers servers and highly independent modules. This helps us reconfigure and customize the system very easily, while maintaining scalability and reliability. MS SQL Server is the default database use use, however, we use a industry leading ORM that is compatible with most leading databases including Oracle, DB2, PostgreSQL and MySQL.

12. Can we host AflexArchive in our own server?

There are mainly two hosting options available. Either you can utilize the SaaS hosting (Software As A Service) in which case you may need to pay monthly/annual subscription fee based on the plan you have chosen. This is adviced when your team is distributed across different geographic locations. Or, you can go for local hosting in which case you will need to maintain your own server infrastructure. This is the preferred method for a team when they are in a single geographic location which will also help in reducing dependency on network bandwidth.

13. How do you ensure the security of the sensitive documents uploaded to AflexArchive?

For storage of documents, we provide isolated as well as secure storage options. Isolated storage option can be utilized for clients who prefer to have dedicated storage locations for their data so that their data is totally separate from any other client's data. Even if the data storage is isolated or not, there are options for clients to choose if they want to have secure storage for sensitive information like financial information. Those storages will be encrypted to ensure the security of the content.

AflexArchive features one-way hash and Salt based authentication mechanism with fine grained access control for data authorization.

14. Where do you store scanned documents? Can we store our documents in our own servers?

AflexArchive in capable of storing data virtually anywhere in the world. Let that be in the cloud servers, your own servers, external storage devices, or so. Client administrators will have the ability to define the data storage repositories with the pre-condition that once it is created and data is stored in them, you will need to ensure the availability of the same. Also, backup options are to be taken care of when you are storing data in your own servers or disks.

15. Can I store high resolution images in AflexArchive? If yes, what all display options are available in order to effectively view the images.

Definitely! We store large images as tiles and users will have the flexibility to view the images as a whole or tile by tile.

16. Is the look and feel of AflexArchive customizable to match our organization specific UI design patterns?

Yes, it is! The user interface of AflexArchive is customizable in such a way that the look and feel can be changed according to the color theme of the client's preference. The logo and similar features can be modified to match your existing applications, if necessary, prior to the deployment.
